1. Membership Conditions


OXFORD HOCKEY CLUB (OHC) – MEMBERSHIP CONDITIONS

By becoming a member, or when renewing your membership you agree to the following conditions of membership of the club. If you do not agree, please contact the club info@oxfordhc.org before proceeding

Membership
The current subscription rates are published on the club website

  • New applicants may attend up to three training sessions or play two games before committing to join and pay a membership subscription.
  • Applicants will be accepted as members provided there are available facilities, and all applications are subject to ratification by the appropriate playing committee. Applicants join a section (be it men’s ladies or mixed) but not a specific team. Applicants who do not then want to join or members who are not renewing must inform the membership secretary who will remove them from the database.
  • Membership details and subscriptions are collected online using the website. We are required by England Hockey to collect data relating to age, and gender which must therefore be completed.
  • Members from the previous season should commit to paying their subscription before the end of September in the current season, after which we reserve the right to give their place to someone on any waiting list. Only paid up members are available for selection for teams after November 1st.
  • Players who have not paid after five sessions may be refused entry to training.
  • The membership secretary must be made aware of any disabilities or long-term health issues (like asthma, allergies or other medical conditions) and these must be recorded on your record. This is only released to the relevant people managing the appropriate teams and training sessions.
  • In case of financial hardship, please contact the membership secretary in confidence.
  • Applicants who wish to join after the relevant winter league cut-off dates (typically early February) will only be able to participate in training and non-league games.
  • Members are required to review their details annually.
  • Members are expected to sign up for alerts from the club website so they receive club news and any cancellations. .

Training and Matches

  • Players must be appropriately clothed for training and matches depending on the weather conditions. A club shirt, navy shorts/skirt and club socks must be worn for all matches.
  • Shinpads, gum shields and facemasks (for defenders) are strongly recommended at all times for training and games.
  • Captains, coaches and managers (as appropriate) will select teams according to ability, attendance at training and engagement in training. These conditions are set out more fully in our “Selection Policies”
  • Match fees are charged at a standard rate for all games.
  • Where there are two or more training sessions provided for teams, players are encouraged to attend all.
  • When you attend training and matches you will be expected to comply with all of the conditions imposed by the pitch supplier and the club. Details may be found on the relevant venue page of the website and includes policies on smoking/vaping as well as dogs.

Insurance
The club does not provide insurance for you to cover the inevitable risks whilst participating in club activities. This is your responsibility to organise if you deem it appropriate.

Kit
All kit supplies can be obtained from Elmer Cotton through the club website.

Cancellation of training or matches
If training or matches are cancelled due to bad weather or lack of cover, details will be posted on the website. If in doubt and you do not have access to the internet, please call/text/email your captain or (where appropriate) or manager.

Club Communications (including Social Media)
You also consent to photographs taken by the designated members being used on the website, brochures, any social media utilised by the club, and press releases in accordance with the England Hockey guidelines (no personal identification will be shown on any photos).

Code of Ethics and Behaviour
All coaches, umpires, players and parents agree to abide by the England Hockey Code of Ethics and Behaviour. Please click the link for full details.

Parental Consent (only applicable for u18s)
For all u18s we will require the consent of a parent or guardian as follows:
I agree with my child(ren) taking part in activities organised by Oxford Hockey Club. I have read and agree to abide by the club codes of conduct (see above). I understand that in the event of any injury or illness all reasonable steps will be taken to contact me and to deal with that injury/illness appropriately. In the event of being unable to contact me, I give consent for the adult in charge to act on my behalf. You must advise the organiser of any other arrangements (e.g. walking home unaccompanied) in writing in advance. I understand that every effort will be made to ensure the safety of my child and I undertake to make sure my child will be adequately clothed for the planned activities. I understand that the organisers may exclude my child from a session if not adequately dressed.

U16's and below who play both juniors and seniors must pay a full junior subscription which also entitles them to play for the senior section. U18’s and below who just play senior hockey must join the senior club.

Safeguarding
OHC fully adopts England Hockey’s Safeguarding Regulations.
